Office appointments are, for many people, the moment when bad German feels worst — it's about paperwork, deadlines, sometimes your residence status. The good news: most conversations follow a similar pattern. These five phrases cover the most common situations.

1. When you didn't understand something

"Könnten Sie das bitte langsamer wiederholen?" (Could you please repeat that more slowly?)
Clearer and more polite than "Was?" — and it signals that you're listening actively, you just need more time.

2. When you ask for a written summary

"Können Sie mir das bitte kurz aufschreiben?" (Could you please write that down for me?)
Spoken bureaucratic German is often harder to understand than written text. Having it written down gives you time to translate it calmly.

3. When you ask about the next step

"Was muss ich als Nächstes tun?" (What do I need to do next?)
A simple, direct sentence that focuses the conversation on what matters when you're overwhelmed.

4. When you want to confirm a deadline

"Bis wann muss ich das erledigen?" (By when do I need to get this done?)
Deadlines are usually the most important part of an office appointment — this phrase is worth memorizing.

5. When you ask for another appointment

"Kann ich dafür einen weiteren Termin bekommen?" (Can I get another appointment for this?)
It's completely normal not to finish a conversation in one visit. Knowing this phrase takes the pressure off.
